Record consent and review consent records
Record or withdraw a guardian’s consent on the student’s Consent tab. The owner can also see every consent in the academy, publish privacy notices and set up the purpose catalog under Settings, Compliance.
Steps
Open the student’s profile and select the Consent tab.
Select Record consent. Choose the Consent type (Minor data collection, Class video recording or Marketing communications), the Guardian and the Jurisdiction, then select Record consent.
To withdraw a consent, select Withdraw consent on it. You can add a Reason (optional), then confirm with Withdraw consent.
If a guardian withdrew parent communications, messages to them stay paused. When they agree again, select Record new grant, choose the Jurisdiction and confirm with Record new grant.
Owners: to see consent across the whole academy, select Settings, then Compliance, and scroll to Consent ledger.
Filter the ledger with All scopes, All states (Active or Revoked) and a date range. Select Load more to see older records.
To publish a privacy notice, select Publish notice in Privacy notices. Enter the Locale and Effective date, add the Body (optional), choose whether to Make this the active notice for the locale, then select Publish.
In Purpose catalog, select Seed default catalog to declare the academy’s processing purposes.
Good to know
- Link a guardian to the student before recording consent. For class video recording, only a guardian with signing permission on the Family tab can be chosen.
- Parent communications, chess account linking and assistant memory are covered by the privacy policy, so they do not wait on a separate grant.
- Each locale has one active privacy notice at a time. Publishing a new active version archives the previous one. Version numbers are assigned for you.
- The Consent tab shows for staff who can read consent. Settings, Compliance is for the academy owner only; other staff are sent back to the main Settings page.
