Change a staff member’s role or create a custom role

Change which roles a team member holds, add one-off permission overrides, or build a custom role with only the permissions you choose.

Written for: Owners and adminsUpdated

Steps

  1. Open Settings, then Members under Team.

  2. Open the actions menu on the member’s row and select Change roles. Tick the roles they should have and select Save roles.

  3. To grant or block a single permission for one person, select Permission overrides from the same menu. Choose the Permission and an Effect of Grant or Deny, then select Add override.

  4. To take away someone’s access, select Remove from the menu, then Remove member. They lose all access straight away.

  5. To create a custom role, open Roles under Team. Built-in roles have fixed permission sets. Under Custom roles, select New role.

  6. Enter a Key (a short lowercase name using letters, numbers and hyphens, starting with a letter), a Label and an optional Description. Tick the Permissions the role should grant, then select Create role.

  7. Give the new role to people through Change roles on the Members page.

Good to know

  • A member must have at least one role.
  • A role’s key is fixed once created. Use Edit on a custom role to change its label, description and permissions, then select Save changes.
  • You can only put permissions you hold yourself into a custom role. Owner-only permissions can never be added to a custom role.
  • A custom role that people or pending invites still hold cannot be deleted. Give those people another role and revoke or resend the invite first.
  • Only an owner can manage the owner row or make someone an owner.
